What is an AI maturity assessment?

An AI maturity assessment examines an organisation’s ability to use and deploy AI in support of its goals. It looks at existing uses, data quality and accessibility, tools, skills, governance rules and decision-making processes. It identifies which conditions are already in place and which need strengthening before further investment.

A company may have experienced employees and promising pilots yet struggle to deploy them: data may be hard to access, responsibilities unclear, checking effort underestimated or benefits insufficiently measured. The assessment connects these findings to planned projects to distinguish what can move forward, what needs preparation and what should be deferred.

At Spentia, everyone within scope is invited to describe their work and AI use. Our partners cross-check this input against documents and available data. You get an assessment of your organisation, with evidence supporting the conclusions and assumptions still to verify.

03 — OUR APPROACH

How does an AI maturity assessment work
over four weeks?

The assessment combines scoping with leadership, team interviews and analysis of available evidence. The four-week schedule covers the scope agreed together. For multiple entities or countries, interview waves and consolidation are planned at the outset.

Week 1: Scope

With leadership, we define the teams involved, decisions to make and maturity needed for the planned projects. We inventory AI tools and initiatives, then examine available documents: usage policies, inventories, pilot feedback and monitoring data. Teams are informed about the purpose and format of the interviews.

Week 2: Listen

Everyone within scope is invited to an individual, confidential interview with Aria. Participants describe their activities, tools, perceived gains, difficulties and the checking time required. Individual responses are not shared with the company. Actual participation is reported in the findings.

Week 3: Establish the evidence

Our partners cross-check interview responses, documents and data to assess the six maturity dimensions. They distinguish established practices, differences between teams and points still to verify. Use cases are examined for estimated value, feasibility, costs and deployment requirements.

Week 4: Decide

Leadership reviews the maturity profile, proposed use cases and 12–24-month roadmap. Estimated gains, costs and assumptions are examined with finance. The report sets out decisions to make, resources to plan for and responsibilities to assign.

Our framework examines the conditions needed to advance your AI projects. Each dimension is assessed using interviews, documents and available data. The analysis identifies supporting evidence, differences between teams and missing information.

1 · Strategy and alignment

Your AI objectives, their connection to business priorities, committed budgets and expected results. The analysis also examines whether stated ambitions align with the projects actually launched.

2 · Data and sovereignty

The quality, accessibility and sensitivity of data needed for planned uses. We examine available information about where data is held, access conditions and how it flows to the tools or models used.

3 · Technology and integration

Available tools, their connections to your IT systems and the conditions for going live. Based on existing projects, we assess the resources needed to deploy, monitor, maintain and fix solutions.

4 · Uses, skills and human–AI collaboration

The activities involved, proficiency with tools, training needs and the division of tasks between people and AI. Time saved is examined alongside checking effort and the organisational changes required.

5 · Governance and risk management

Usage rules, responsibilities, oversight arrangements and dependencies on suppliers. Points requiring legal, security or data protection review are identified with the relevant specialists.

6 · Ability to decide and deploy

Project owners and sponsors, how issues are escalated, decision-making arrangements and team availability. The analysis examines how a project can move from experimentation to monitored use in daily work.

For each dimension, the report distinguishes what is established, what still needs verification and what this means for the projects to launch.

Potential already within the organisation

Scoping inventories official tools. Anonymous interviews uncover the rest: personal uses, advanced practices and tasks where time is already being saved. This builds a fuller inventory of AI use to support governance and the review of applicable requirements.

A pilot back on track

A promising pilot had stalled, with no owner or feedback mechanism. Analysis of the decision-making process identified the missing step. The pilot restarted with a sponsor, roadmap, KPIs and timeframe.

Conflicting internal rules

Marketing encourages AI use, IT prohibits entering customer data, and nothing clarifies what is permitted in between. Faced with uncertainty, teams do nothing. The missing rule fits on one page: which data, which tools and who decides. Projects can then move forward.

The Spentia assessment is designed to take four weeks within the scope agreed at the outset. It can cover a company, division or function, depending on the question and resources available. For a group with multiple entities, the interview waves and consolidation follow a specific schedule. The 12–24-month roadmap refers to the timeframe for actions proposed after the assessment.

We agree a fixed fee during scoping. It depends on the scope, number of entities and complexity of the analysis. The fee includes interviews, analysis by our partners, the findings report and preparation of decisions. Terms and fees are agreed before launch. Any rollout support is scoped separately.
